, an office that is conscious of the environment so doesn't use paper. Whether this prophecy will come true is as of yet not clear but any office can benefit from cutting back on how much paper they use.

There are many reasons why a modern office shout make paper cut backs, firstly the obvious eco-benefits, then the cost and also because paper cannot always be trusted to keep confidential information protected.

So if you are about to move your company to an office in a new location then here are some pieces of advice to make that particular office a paperless and modern office.

1) Firstly, try using emails rather than paper and pencil messages. Perhaps the best way to reduce the amount of paper your office uses is to use computer based messaging instead of the traditional sending letters, fax machines and memos. If you use this method then you will be able to reduce office spending and make employees a lot more efficient and productive as they will no longer have to travel to office when delivering memos but instead can just click the button and in seconds the email is sent.


2) The morning papers, journals and marketing materials can now be received vie email, which means a paper copy is completely redundant. In fact, this particular use of paper is one of the most unnecessary and wasteful uses of paper that there is. What I mean is that over 80 percent of time magazines will undoubtedly end up in the garbage bin, so it is just as if you are buying paper then throwing your money in the bin. Also if you subscribe to a magazine online you can then utilise those articles more easily in presentations and reports.

3) It's not about being perfect, it's about making the changes you can. This is because it can be tricky to completely remove the need for a little paper in a working office, instead you should just try and minimise the use of paper when and where you can. So you should have a clear idea of what your company can achieve rather than trying to be a paper-dictator who is hell-bent on wiping out paper use in the office, which will annoy you workers, be more inefficient and be impossible to manage.

4) Perhaps you could try an office white board instead of post-its. You office employees will need a place to make notes and usually this is on a yellow post-it but in a reduced paper office you may want to use a white board instead. This is because a whiteboard is reusable and is a good way to brainstorm with your workers and flesh out some of their ideas. Therefore if you invest in a whiteboard you will be able to minimise the use of paper in your office.


5) Also remember that reducing paper usage doesn't just mean stop using A4 paper. It can also mean using electric hand-dryers in the toilet instead of paper towels and by using reusable mugs rather than throw away paper cups. There is endless amount of things you can do to cut back on paper consumption in the office, it might even be something as easy as putting a paper bin in the corner of the office.
