Microsoft Dynamics GP could be implemented for the organization, where Sales and Purchasing are outsourced to another application. And what you want from your accounting is just to record GL Entry as shadow for the outsourced customer and vendor invoices. This is completely up to you. In this accounting system you can also accrue taxes directly on the General Ledger transaction. Plus we will consider the option to import transactions from your external system into GL via Integration Manager:

1. Enabling Tax Entry on the Company Options form. Select Administration on the left navigation pane and in Setup section click on Company link, Company Setup form should open up. Here click on Options on the right down corner. In the Options scroll down couple of inches and check Calculate Taxes in General Ledger (in default installation it is not marked)

2. Open GL Entry form and verify that you now have Tax Entry button all the way down on the left side of the form. Click on the button and start with the type (debit would be normally for purchasing or use tax in USA or Sales Returns, where taxes are diminished; credit would be for Sales Invoice with tax accrued). Pick Tax Details, enter Sales/Purchase Amount, distribution reference and tax will be calculated automatically after you leave Sales/Purchase amount edit field. Now when you are ready, click Create and Tax and Sales/Purchase lines will be moved to the GL Entry distribution scrolling window. Next step would be create another line with distribution to Accounts Payable (if debit in tax form) or Accounts Receivable (if credit respectively). You should be able to print tax registers reports as expected for reporting. Cool, don't you think so? But, this is not all. If you are thinking about tax calculation in General Ledger, there is the possibility that you are exporting tons of customer and vendor invoices from your front end application (this might be something very powerful, with Oracle, DB2, PHP/MySQL Linux database, or something very simple, if you are small organization: MS Access, FoxPro, XML, text files)


3. Moving Transactions with Tax to GL via Integration Manager. First we recommend you to do self-discovery. Launch Integration Manager module, pick sample GL integration, and go to Destination Mapping. You should see Tax Entry entity on the bottom available for mapping. IM could use simple text files to integrate GL Entries, or you can deploy advanced data connection scenarios advanced ODBC, where you can deploy SQL Views to prepare documents for the upload to Great Plains

4. Customization. You can consider such tools as Microsoft Dexterity or Modifier with VBA to alter GL Transaction Entry form, including its Tax Entry sub-form

5. Older versions of Great Plains. If you are on the legacy versions of Great Plains Select, eEnterprise, tax entry in General Ledger might be not available. We based this publication on the functionality available in version 2010/11.0. We checked older versions down to 7.5 and 7.0 (including 10.0, 9.0, 8.0) Tax Calculation checkbox is present in all of these versions on the Company Setup Option form, meaning that you can accrue taxes in GL in these legacy versions
