Heres a task for all those who aspire to attain the Project Management Professional Certification
. Select a random sample of 5 people known to you and ask them to define a project. Most responses would lead to the following inferences:
Objectives and limitations are pre-determined
The starting and ending dates are known
Budgets are always limited
Involve the consumption of resources (e.g. time, materials, human effort, etc.)
Now ask a person who has
trained in project management and notice the difference in responses. They are most likely to include two key terms viz. Project Planning & Project Monitoring. Further probing on the responses received will reveal some important insights into these two crucial functions. Project Planning is the function that comes into effect in the preliminary stages. In this stage, the specifications of each component of the task are worked out. The quantum of work, together with the minimal and expected quality targets is frozen. Also discussed are the various resources that would be required for the task. However, mere planning is not enough to ensure the success of a project.
A project is said to be a success when it meets the time and cost parameters along with the desired performance levels. Also important are the optimum utilization of the allotted resources and ultimately the acceptance of the project by the end user. The management function that holds the key to this entire process is Monitoring. Simply put, this function tracks the real time performance of the project execution, analyzes the impact at various stages and adjusts the execution so as to keep the final performance in line with the deliverables finalized at the planning stage.
However, it is not all that simple as it reads. Every project has to ward off dangers such as over-complexity, frequent and random changes in the scope and reach of the project, external risks, technology limitations and funding restrictions. The project management programs at
