Receptionists Duties

Within an organisation that has more than one department

, more than one room and several telephone extensions, a receptionist would be required to handle all incoming calls and ensure the calls are redirected to the correct department or person.

Depending on the size of the company, there may be more than one receptionist to handle the calls. During the lunch hours, there must also be another receptionist on site so that they can cover the reception when the main receptionist is on lunch.

The receptionists main duty is to answer all incoming calls and redirect the calls the correct person or department. The receptionist may also be involved with other administration work if reception is quiet. The hours of work will differ between companies; however a majority will be for the entire business day. The reception must be either be seated or prepared for incoming calls as soon as the office opens and put the correct answer phone message on at the close of business day.

The receptionist will need to know the relevant telephone systems and ensure the transferring of call is redirected to the correct person or department.


The role is very much telephone based, therefore the person must be able to work within this environment. The number of incoming calls will differ from company to company, however the duty will be relatively the same. The only difference is how busy the company is, as some receptions are very quiet and the day would be long. The salaries of receptionists are quite low, but it all depends on the company and the level of busyness it is, however it can be an easy role to do.

There are plenty of receptionist roles being available within the market, the successful receptionist must be able to operate the telephone system, have good customer service and telephone skills, be able to multitask and the ability to memorise on the spot mainly because there may be a requirement to take the persons name before passing through the call. The jobs can easily be found on job boards, other recruitment websites and the direct companys website.
