Sap Business One Or Accounting For Multinationals

ERP localization is one of the key questions to get answered when you are crossing US borders and open subsidiary internationally

. It might be not a good idea to learn lesson by trying to implement popular accounting package in your foreign office. Better idea is to do your homework. In this publication we will try to come through several concepts as well as give you several case studies on the subject. We do not pretend to be technical and this is rather highlights for IT manager:

1.Unicode standard. English is based on Latin alphabet in its classic and simple form. We do not have accents. If you are familiar with classic ASCII table then all the letters, digits and punctuation marks are encoded in half of the byte (upper register). However internationally there are languages where ASCII doesnt cover all the symbols especially when they are hieroglyphs. In order to cover the gap Unicode standard was introduced where each character is represented by two bytes. All world languages are covered in Unicode including Chinese, Japanese or you name it. If you ask the natural question about software package and Unicode there are chances that it is not covered. Well it is covered in popular packages such as MS Excel or Word. But it is not covered for example in such popular ERP package as Microsoft Dynamics GP

2.Local tax compliance. Besides the topic of the previous paragraph accounting software should support local legislation. Isnt it just about tax rates? Partially it is. But especially in large countries such as Brazil, India or Russia you may expect complicated requirements. For example lets take Brazil. Here we have Public Digital Bookkeeping System or SPED in Brazilian Portuguese abbreviation. The idea is great and it is about making public corporate documents related to taxation by reporting them to IRS servers. However for accounting software it is challenging to implement such functionality. Another example is Russian Federation where you have to deal with predefined chart or accounts and GL level transactions

3.Lets take a look now at Business One. It is translated to numerous foreign languages including Chinese, Brazilian and European Portuguese and Russian. Localization in the sense of tax tables is typically covered by core functionality and such advanced features as SPED through add-ons (VAR channel). Software is flexible in the customization and data export aspects. It is friendly to Crystal Reports design

At this point lets take and answer several popular questions:

Q. SAP in our opinion is associated with luxury and expensive ERP software. What is the price tag for entry level?

A. Business One is recommended for mid-size and small companies as well as for international facilities of multinational firms. Entry level may start at something like ten thousand dollars US

Q. We have different software in the headquarters. But it is not available in South America where we have manufacturing facility in Sao Paulo region. Do we have to look for something else or give SAP B1 a shot?

A. There is hub-and-spokes approach where you export transactions from the database into Excel and produce consolidated P&L and Balance in FRx or Microsoft Management Reporter. In this scenario B1 is flexible and popular

Q. Our CPA contacted consulting firm in Sao Paulo and we got the quote on software and consulting hours. We would rather plan centralized implementation here in the headquarters. Do you have any comments on the subject?

A. It is a good idea to plan it first for the whole organization. Think about such things as standard GL chart of accounts, procedures and naming conventions. Also consider deploying all the companies on the server in the United States and opening client interface via Citrix or Microsoft Terminal Server
