The Importance Of Communication In Property Management
The number of disputes between tenants and property managers continues to rise
, as issues dealing with everything from the renter's rights to responsibility for repair becomes increasingly prevalent. In most cases, earlier communication regarding the problem could have circumvented a great deal of the process.
Management companies that oversee another entity's land are in the business of making decisions that are in their clients' best interests. In order to do that, it is imperative that management companies keep an open line of communication with tenants who may have a problem. Input is needed from all sides, and it is the job of the property manager to initiate the discussion.
The first part of a property manager's job when there is a dispute placed in front of them is to check the written contract or lease to see if the issue is currently addressed in writing. If it is, the manager must delineate the information in a way that the tenant can understand. Failure to effectively communicate what the rule does and does not allow for can bring undue strain on the relationship between the tenant and the estate manager as well as the estate manager and his/her client. If the rules and regulations are not clearly conveyed in a manner that can be understood by everyone, the land manager is just opening him or herself up to potential legal matters from both sides.
If an issue is raised and the answer has not been previously discussed in writing, it is the manager's duty to try to settle the issue without there being a lawsuit brought against the property owner. The manager has a very important job, in that they are to protect the entire lot as if it were their own. When a complaint has been filed, an out-of-court settlement on a resolution is best to keep the property owner from having to become involved. Always remember that the person put in charge of the property is working as an agent for the actual owner of said property. Therefore, it is imperative that actions being taken by the property management company do not interfere or cause a conflict of interest with the company's client.
By competently handling situations such as contract disputes and other similar arguments, the project management team can always keep the tenant happy while acting within the owner's best interests. Whether it be an explanation of something already in writing or a compromise that needs to be reached in order to keep all parties satisfied, the manager/management team has been hired to handle situations like these proficiently. A failure to do so will only result in wasted time and wasted resources that could have been better utilized.
