Taking warehouse inventory is much easier and more accurate with RFID software

. But, Radio Frequency Identification, or RFID for short, can be used for more than successful inventories.

The portable devices can be used to scan a barcode and transmit the information to a central computer. That makes them ideal for doing large inventories. But, if a company only brings the "guns" out when it's time to count the stock, they are not taking full advantage of the system.

RF guns can be used at the receiving dock when deliveries come in. Large companies have been doing that for years and it is becoming more commonplace in small businesses, too. It takes some of the human error out of receiving.

The guns are particularly helpful when large items are received. They may reduce the risk of injury, improving the warehouse's safety record and helping to protect the employee's health.


Depending on the sensor's sensitivity, they may be useful for "lifting" information from items stacked in the steel or on high shelves. If employees are equipped with the devices, they can check prices. That enhances customer service.

In addition to ensuring the accuracy of the warehouse inventory, RFID software can be used to collect other data, as well. Many handheld devices are equipped with a miniature keyboard and monitor. So, data entry of practically any kind can be input remotely.

Items without barcodes can be input manually. When large items, such as furniture, are being delivered to customers, the date and time of the delivery can be entered. The capabilities are nearly limitless.

Basically, it's like having a computer the size of a handheld barcode scanner. The guns are lightweight and special hip holsters are available for storage and transportation.

While the battery life is limited, a charge will last a full day. Recharging every night is recommended.

If RFID software is used correctly and consistently, taking warehouse inventory is faster, as well as easier. Most companies feel that physical counts are still necessary, but that really depends on the number and variety of products being stocked. If theft is a problem, a physical count may need to be taken every three to six months.

Some handhelds are equipped with printers, which allows for making labels or providing receipts. Depending on the quality of the system, you may be able to make new barcodes to replace one that has been destroyed.

Doing a warehouse inventory without RFID software is expensive, because of the number of employee hours necessary to complete it. The units often pay for themselves during the first year.
