What Is Electronic Document Management?
For many people, the term electronic document management is one that can cause a little confusion
. But in terms of importance to governmental and commercial organisations, it has become very significant indeed. In this article we'll explore just what is involved with this process, and see how it impacts the lives of people the world over.
As anyone who works in an office knows, documents now reside in their digital forms primarily, with hard copies being taken whenever required. Electronic document management is the process or systems of keeping all these documents in order and ensuring that those who need to access them can access them - and indeed those who are not authorised to open them - cannot do so. This may be controlled by a single computer system or a range of programs.
As far as many people are concerned, electronic document management actually overlaps with content management systems - as both deal with similar files. In some way it could be thought of as a single component of enterprise content management systems and connected to digital asset management workflow systems, records management systems and document imaging. These things are indeed the lifeblood of any company - something that business savvy people the world over understand. Without this, documents move slowly and can get lost or mislaid.
Way back in the 1980s, various firms began looking at developing systems that addressed the document management needs of companies - specifically the management of paper documents. Alongside basic printed documents, there was also a the issue of managing photos and prints. Developing on from this, a second kind of system began being developed - this one focused on the management of digital documents - that is, the concept of files that are stored on computer systems. Early system were developed to store documents that were faxed - and so they were saved as images.
All these concepts have developed into highly advanced electronic document management systems - system that are now used by all kinds of organizations - from government departments to large corporations. These systems make accomplishing a variety of tasks easy and hassle free; indeed if an organisation does not use these systems it is likely that their competitors, if they have any, will be able to perform better and at a lower cost - therefore passing cost savings on to their customers or whoever they serve.
Firms that offer electronic document management systems can be found easily on the internet by entering certain terms.
