6 Things You Need To Know About Organizing A Corporate Function

Organising a corporate function is far different then a regular social function

. Other then the obvious reasons, corporate functions have a far different dynamic with respect to the guests that are attending and the context that it is run. At corporate functions, there will inevitably be tension between work colleagues, which in conjunction with a bit to drink can lead to an all out war of words. If you are taking on the responsibility organising a corporate function, here are a few things to think about.

1.Seating

If it is a sit down function, be sure to seat people with a combination of people they know and dont know. EG: On a table with 6 people, put 3 people from the HR department with 3 people from marketing. It can be uncomfortable for some people to site with a bunch of strangers whom they may or may not have anything in common with other then where they work.

2.Function Venue


It is generally a good idea to hold the function at a venue near work, or centrally located. This is particularly important if it is held on a weeknight after work as it ensures everyone can attend. Bars and Nightclubs generally have good function rooms available, and are also handy in regards to the fact they are easily identifiable.

3.Ask For Advice From Colleagues

Inevitably, some people who attend a corporate function will complain about it. Unfortunately this is the nature of many workplaces. It is very important as the organiser a function that you acknowledge the requests of your colleagues. Send out an email asking for suggestions prior to organising the event and booking the function room. By doing this you ensure the event is successful but also that you have adhered to office politics.

4.Presentations

With work functions, generally there are corporate formalities that need to be performed. If this is the case, do these within the first half of the function and once finished, let people know this is the end of the formalities NOW HAVE FUN. This way people know they can relax and enjoy themselves, but also ensures they will be listening (as they will be less drunk)

5.Food

Whether you are holding the event at a restaurant, bar, nightclub or dedicated function venue, make sure you take into account different dietary requirements, be it vegetarian, vegan, Halal or Kocher, it is important to take this into account by requesting that anyone with specific dietary requirements advise you.

6.Time/Date

The best time to organize a corporate function (especially an internal one) is from lunchtime Friday. This ensures people will look forward to the half day off, demonstrates to the employees they are valued and has the minimum impact on productivity.
