The Manufacturers Association of Central New York (MACNY) is the eyes and ears of the manufacturing industry in New York. Their members depend on them to relay any new practices, policies, and regulations while maintaining a close community. MACNY wanted to add more functionality and features to their database application in order to create more value for members and the association. They had been using their current system for ten years, which meant many new capabilities were not possible to integrate into their system. Not to mention, they had been continuously paying an annual maintenance fee for the application, even though the maintenance they wanted done was not possible. Our software did not support the member development process we needed, said John Lawyer, Director of Purchasing and Technology Solutions at MACNY. We needed a system with a robust process management capability that would not only let us manage current and new members, but our sales, as well.
Deciding on Their Next Move
In late 2007 MACNY began evaluating association management software (AMS) packages for their organization. They looked at six different systems: four client/serverbased applications and two hosted/web-based applications. These systems varied in cost, functionality, and platform.
After reviewing all the solutions, they a decided CDC gomembers On Demand solution was the best fit for their association. By switching to On Demand, MACNY would receive the essential association management functionality they needed, including the ability to manage education, events, billing/invoices, and member relationships, as well as a configurable process management capability not available from any of the other solutions they considered. Not only was the functionality attractive to MACNY, but because it was delivered in a software-as-aservice (SaaS) model, it had the lowest total cost of ownership, which provided the best value to them.
Implementing On Demand
Because MACNY had been using their former system for ten years, there were a lot of historical data that needed to be converted and transferred into CDC gomembers On Demand. Even with an extremely complex data set, the On Demand implementation team was able to accommodate all of the existing information and data fields so that MACNY had a true historical picture of their member interactions.
The migration was much easier than I anticipated, said Lawyer. The services team was able to migrate years of activity, which allowed us to keep a historical record on our members.
Results and Key Benefits
As a result of using CDC gomembers On Demand, the Manufacturers Association of Central New York has experienced big improvements in efficiency and in responding to the needs of members.
Reporting has become easier, with their unique model organized around member services.
On Demands capabilities allow MACNY to review all their services for members and ensure that member needs are addressed in a timely manner. Similarly, the reporting features allow them to create ad hoc lists for marketing campaigns to target interest groups and pull reports to identify event participation/ attendance and purchase tickets.
There has been increased awareness of which services our members are using or not using, as reflected in our reports, Lawyer said. This has really given us the opportunity to reach out to our members and get them more engaged with MACNY and with our other members.
On Demands Task feature allows each member question to be logged and the response managed. Tasks can provide simple to-do tracking and full-featured task management with scheduled and due dates, categorization, time tracking, journaling, assignment to and acceptance by staff members, and sub-tasks.
MACNY has also made extensive use of the Process Management capability, making it the key benefit. The process modeling capability allows any repeatable process to be modeled, linked with members or prospects, reported on, and thus managed. Processes may be simple, or complex with multiple phases to track. In MACNYs case, the module helps them organize and streamline three processes: managing the sale of services, increasing the use of services by members, and managing the orientation of members.
The use of On Demand has been instrumental in helping MACNY expand its event programs. With the support of the process management feature, we have seen a 30% increase in the number of events we hold and the number of attendees at the events, Lawyer said.
