Moving To A New Office Premises

Whilst moving to a new office is an exciting experience

, it can also be a scary one. Perhaps your company has grown into bigger premises or perhaps you have diversified and opened a branch in another city. Either way, the prospect of moving staff and equipment can be a daunting one.

To make life a little easier, set a list of things to do in the months leading up to the move. Perhaps the foremost thing to consider is hiring a move consultant to transport your equipment, furniture and paperwork to the new location. At this early stage, request quotes from a number of companies, to ensure that you are getting the best possible deal. In addition, ask your chosen company for references, to check that your transit will be a simple and hassle free task.

Decorating your new office is key to impressing clients who are visiting your premises for meetings. First impressions count in business, so make sure the office is freshly painted, modern, well laid out and contains an adequately sized meeting room. Likewise, prospective clients and staff will welcome beverages or food provisions, so ensure you allow space for a kitchen facility if one is not included with the new office.

If your premises are to have designated offices and meeting rooms, don't forget to clearly label doors with aluminium nameplates - likewise, make sure to label corridors prominently, so visitors know where to find the appropriate contact. The most important branding of all however, is your front door, so make sure you consult a label manufacturer & signage company to make up a classy and stylish sign, using the company logo.

Prior to a move, decide where staff will be located - after all, you don't want to have a free for all on the first day. Lay out floor plans and work out where each desk is going to go, adhering to light and space regulations. Desks will need phone lines and computer access, so get these key tasks completed well before the move in case of any delays with contractors. Communication is the most important facet of your business and without it, you won't be able to liaise with clients.

Informing clients of the move is vital, so make sure you get new business cards and stationery printed, as well as contacting each client individually to let them know where you are moving to. Your website, which is the gateway to your business, will need to have its contact details amending. Moreover, local directories should also be contacted, so that anyone searching for your business, will not be directed to the wrong offices.

In addition to informing clients, let your insurance company know the details of your move and arrange for security in the form of surveillance to be present at the new offices. Your new offices should be kept spick and span so don't forget to arrange cleaning services, to ensure your premises look their best at all times.

Whilst the above is not an exhaustive list of things to plan for, it provides a base of organisation. Whether you decide to hand over responsibility for the move to a senior member of staff or undertake the planning yourself, make sure to write a list, set targets for the move and most importantly, stick to them.
